Agreements and Cancellation Requests

Greek Village is home to both university-owned facilities and privately-owned or managed facilities. Greek Village residents agree to terms and conditions outlined in a Greek Village room agreement.

Types of Agreements

Leased facilities are governed by a lease agreement between the State of North Carolina and the House Corporation.  All Greek Village residents in leased facilities enter into a room agreement between the Department of Fraternity and Sorority Life, House Corporation, and the student through the 2023 – 2024 Room Agreement (Universal Room Agreement).

Non-leased facilities are overseen by the Department of Fraternity and Sorority Life. All Greek Village residents in non-leased facilities enter into a room agreement between the Department of Fraternity and Sorority Life and the student through the North Carolina State University 2023-2024 Greek Village Room Agreement (University Room Agreement).

Billing, charges, costs and appeals

Fraternity and Sorority Life supports billing of Greek Village rent, meal plans, and parlor fees for the all Greek Village facilities in addition to any additional charges assigned and approved by the organization. Organization charges are listed on your cashier’s bill with the name of your organization, noting that it is an organization charge and not a university charge.

Greek Village costs for rent, meal plan, and parlor fee differ by organization and facility. Review approved fee structures for the current academic year here.

Any request to modify or remove organization charges must be approved by the House Corporation prior to credits being issued by the Department of Fraternity and Sorority Life for leased facilities. For non-leased facilities, approval by the Department of Fraternity and Sorority Life must be received prior to issuing credits.

Room Agreements

All Greek Village residents agree to terms and conditions outlined in the Greek Village Room Agreement associated with their chapter house/Greek Village facility. This agreement must be signed in order to finalize housing arrangements in Greek Village.

Cancellation Request Process

Greek Village residents with a room assignment can request a cancellation of their housing agreement/assignment at any time, understanding that there are associated fees for canceling your application or assignment.

To initiate the cancellation process, you must submit a cancellation request through MyPack Portal

  1. Access MyPack Portal
  2. Select “Campus Living”
  3. Log into the “Housing Student Self Service” portal and follow the link to access your application
  4. Select “Forms”
  5. Complete the Cancellation Request
  6. Hit Submit

Your request is pending until processed by the chapter organization and the Department of Fraternity and Sorority Life. You will receive an email once your cancellation request has been processed with details regarding the cancellation instructions and termination fees.

Greek Village residents requesting to cancel housing after check-in must vacate housing within 48 hours of submitting the request to cancel.

The room agreement is automatically terminated if the organization’s lease is terminated for loss of recognition.  All applicable cancellation fees will apply. 

Buyout Option

If you confirm another member of your organization to buy-out your agreement and the organization approves the request, you are eligible for reduced termination fees. 

Termination fees will not exceed $300 if another member agrees to buy-out the remainder of your Greek Village Room Agreement. 

  • Students involved in the buy-out option must not be a current resident of Greek Village and meet eligibility requirements.
  • If you have an assignment in Greek Village Apartments, the buy-out option does not need to include a member of your organization but must be an NC State student that is eligible to live in Greek Village Apartments.

Cancellation Request Results

Your request to cancel your application or assignment is processed by the chapter organization and the Department of Fraternity and Sorority Life. 

You will receive an email once your cancellation request has been processed with details regarding the cancellation instructions and termination fees.

Results may carry full financial penalty, partial financial penalty, or no financial penalty. Your result may be one of the following options.

  • Approved by the organization, with no buy-out
  • Approved by the organization, with buy-out
  • Not approved by the organization, with buy-out
  • Not approved by the organization, with no buy-out

Resident termination fees for the Department of Fraternity and Sorority Live Greek Village Room Agreements are outlined in the cancellation terms below if approved by the fraternity or sorority organization.

Cancellation Terms and Conditions

Cancellation terms and conditions are associated with your room agreement. Leased and non-leased facilities in Greek Village have different terms and conditions. Approval or denial of cancellation is decided by the fraternity or sorority organization for a leased facility and by the Department of Fraternity and Sorority Life for non-leased facilities.

Termination fees when approved by the fraternity or sorority organization for a leased facility

Daily room charges are calculated by dividing the housing costs by the number of days (first day of check-in through last day of class) per term.
  • New incoming Residents for the spring term terminating this Agreement prior to the first day of spring check-in will be charged a $500 Termination Fee and will owe no additional housing costs for the spring term.
  • New incoming Residents for the spring term terminating this Agreement on or after the first day of spring check-in will be charged a Termination Fee of fifty percent (50%) of the spring balance associated with their room assignment plus daily charges for the duration of the Resident’s occupation of the Facility. Daily room charges are calculated by dividing the room fees by the number of days (first day of check-in through last day of class) per term.
  • Organizations for leased facilities may also have you sign another agreement through their chapter or national house corporation.  Additional terms and termination fees may be associated with canceling your organization’s agreement. Questions about those agreements or the termination fees associated with those agreements need to be addressed to the house corporation presidents.

Termination fees when approved by the Department of Fraternity and Sorority Life for a non-leased facility

The resident may terminate this Agreement by completing the online Cancellation Request Form in MyPack Portal. Appropriate termination charges shall be assessed. All termination fees are in effect once an applicant is assigned to housing, accepts a housing offer or selects a space during the annual room selection process (as an individual or as part of a roommate group). Only Fraternity and Sorority Life may process an on-campus housing termination.

Failing to move into a residential facility does not release the resident from this Agreement.

The resident pays daily charges if this Agreement is canceled for one of the following reasons

  • Co-op
  • Internship
  • National Student Exchange
  • International Student Exchange Program
  • non-registered
  • official withdrawals
  • academic suspensions
  • employment ends.

Residents requesting to cancel housing to move off campus after check-in must vacate housing within 48 hours of submitting the request to cancel.

Termination fees when NOT approved by the fraternity or sorority organization for a leased facility

  • Residents terminating this Agreement without the permission of the fraternity or sorority organization will be responsible for payment of all room fees due under this Agreement.
  • Notwithstanding any of the above, termination fees shall not exceed $300 where the Resident arranges for another fraternity or sorority member (not a current resident) meeting eligibility requirements to buy out the remainder of the Agreement. Contact the Department of Fraternity and Sorority Life to process the Buyout Option.

Termination fees when NOT approved by the Department of Fraternity and Sorority Life for a non-leased facility

  • Residents terminating this Agreement without the permission of the fraternity or sorority organization will be responsible for payment of all room fees due under this Agreement.
  • Notwithstanding any of the above, termination fees shall not exceed $300 where the Resident arranges for another fraternity or sorority member (not a current resident) meeting eligibility requirements to buy out the remainder of the Agreement.
